The best free AI tools for productivity depend on the job you want to finish. Drafting an email, checking a public source, summarizing your own notes, and making a poster need different capabilities.

Start with one repeated task and one tool. A useful free plan should let you complete that task within its limits, review the result, and keep a usable output. A long list of accounts does not automatically make the work easier.

Notion AI is not in this recurring-free shortlist: its complimentary responses are a trial. Zapier is discussed separately because free automation capacity does not establish that every AI step, connected service, or API call is free.

How We Chose These Tools

The comparison covers common everyday tasks, documented free access, and a clear way to review the result. It does not rank every chatbot or include coding, professional video production, or specialist research systems.

Some limits are published numbers, such as monthly prompts. Others depend on the model, feature, complexity, account, or current capacity. Where a stable quota was not established, the table says to check the product rather than inventing a message allowance. Region, age, and work or school account rules can also affect access.

ChatGPT for Drafts and Action Lists

Use ChatGPT when you need to shape rough information into a clear draft: a reply, outline, checklist, or plan. OpenAI’s prompting guidance recommends describing the result, relevant context, output format, and boundaries.

Try this with non-sensitive notes:

Turn these notes into a short project update. Use three headings:
Completed, Next steps, and Questions. Keep every date and number unchanged.
Do not invent missing progress, owners, or deadlines. Put missing details
under Questions instead.

Read the output against the notes. A fluent paragraph can still change a commitment or make an uncertain task sound completed.

OpenAI lists a Free plan in its current plan documentation. Check the limits shown for your account before planning a large job. This guide does not promise a particular model, number of messages, upload allowance, or media feature on Free. A free chat account also should not be treated as a free API budget.

Gemini for General Writing and Planning

Gemini is another starting point for outlines, explanations, and drafts. Google’s limits documentation distinguishes access without a Google AI plan from higher subscription allowances.

Try a bounded request rather than asking it to organize everything:

Using only the tasks below, suggest a plan for two 45-minute work blocks.
Keep the priorities I supplied. Explain what will not fit and do not
schedule a task that needs information I have not provided.

Review whether the suggested time blocks are realistic. A plan is still an estimate, not evidence that the work will fit.

Free access has standard limits, and Google says limits and feature availability can change. Long conversations and demanding operations can use more capacity. Do not assume every Google app connection, media-generation tool, or work-account feature is included just because you can open Gemini.

You probably do not need both Gemini and ChatGPT for the same simple drafting job. Try the same small, non-sensitive task and choose the output you can check and revise most easily.

Gemini Notebook for Notes and Source-Based Summaries

Google renamed NotebookLM to Gemini Notebook in July 2026. It remains a standalone product for working with source material, so older references to NotebookLM describe the same product lineage.

Use it when you already have the documents you need: a public report, approved project notes, a reading list, or course material you are permitted to upload.

Its Standard plan lists 100 notebooks and 50 sources per notebook. Those storage/organization counts are separate from AI usage. Google’s current usage guide describes compute-based limits affected by complexity, models, features, and conversation length. Check the Usage view instead of relying on an old daily-query number.

Try:

Summarize the main decisions in these sources. For each decision, show the
supporting source. Separate confirmed decisions from suggestions and list
questions the sources do not answer.

Open the cited passages before using the summary. Source-based answers can still miss context or overstate what a passage establishes. Begin with a small, relevant source set rather than adding every file you own.

Perplexity for Finding Sources to Read

Perplexity suits research discovery: finding a vendor’s pricing page, product documentation, or other sources you can inspect yourself.

Its plan comparison describes Standard as having basic searches, limited uploads, and limited Pro Search. The current table lists three Pro Searches per day. Advanced model selection and other premium capabilities are not part of the basic free offering.

Try:

Find official documentation for this product feature. Link the original
pages, distinguish the free plan from paid plans, and state what you could
not confirm. Do not use an affiliate roundup as the feature authority.

Then open the originals and check the date, plan, and exact wording. The presence of a citation does not prove that it supports every claim in the answer. For a final report or article, cite the original material rather than relying solely on the generated overview.

Grammarly for Editing Your Own Draft

Grammarly Free is useful when you have text and want spelling, grammar, and tone feedback. Its plan table lists 100 AI prompts per month for Free. Features such as one-click full-sentence rewrites and tone adjustments are listed in Pro.

Start with a short piece where you can easily inspect every change:

Make this email clearer and shorter. Keep the price, delivery date, and
payment terms exactly as written. Preserve my meaning and flag anything
ambiguous rather than deciding it for me.

Accept edits selectively. If the message says “we may deliver Friday,” a revision to “we will deliver Friday” changes the promise even if it reads better.

Choose it for writing cleanup rather than expecting the free plan to replace research, fact checking, or every paid writing feature. Keep a copy of the original when wording matters.

Canva for a Visual First Draft

Canva can help when your output is visual: a poster, menu graphic, simple slide, or social post. Its current pricing page lists a shared monthly AI allowance for Free, estimated at up to 20 uses of Standard or Premium AI tools. This is a pooled allowance, not 20 uses for each tool, and more demanding requests can consume it differently.

Free PDF, JPG, and PNG exports are listed separately from AI generation. Premium content, background removal, advanced exports, or other paid features can still affect what you can finish without upgrading.

For a practical trial, make one small event announcement. Enter the date, location, price, and contact details yourself. Use AI for a visual idea or draft, then proofread and open the exported file on your phone.

Check asset permissions and plan labels before publishing. An attractive preview is not enough if the required export or asset is paid, and generated text inside an image needs careful inspection.

What About Notion AI and Zapier?

Notion AI is a limited trial

Notion’s free pages and databases are different from continuing AI access. Its complimentary-response guidance says an upgrade to Business or Enterprise is required after the trial responses are used.

It may be useful to try inside an existing workspace, but it should not be described as a recurring free AI allowance. The pricing page labels AI capabilities on the lower tiers as limited trials.

Zapier Free is automation capacity with separate AI checks

Zapier’s Free plan lists 100 tasks per month, two-step workflows, and 15-minute polling for polling triggers. It includes Copilot for help building automations, while AI features in Tables and multi-step workflows are listed among paid features.

A trigger followed by an AI action and then a save/send action needs more than a two-step workflow. Check the complete sequence, the connected apps, and any model/API charges before calling it free. New accounts also receive a 14-day paid-feature trial, so test against the plan you intend to keep.

For a small experiment, first write down the trigger, required output, review point, and failure handling. You may find a simple built-in connection is sufficient without an AI step.

A Small Workflow to Try This Week

Use one general assistant to turn a fictional project note into an update:

Finished: first draft of the menu.
Waiting: owner to confirm prices.
Next: check the approved menu on a phone.
Delivery date: not agreed.

Ask for Completed, Next steps, and Questions, using the ChatGPT prompt above or the same request in Gemini.

A useful result should preserve the unfinished price check and avoid creating a delivery date. Before sending it, check:

Did it describe the draft as a draft rather than an approved menu?
Did it keep price confirmation as an open task?
Did it leave the delivery date unresolved?
Can you copy the reviewed result into your normal document or email?

This is an example review exercise, not a reported test result from either product. Add Grammarly only if editing is still the problem. Add Perplexity only when external facts need checking, or Gemini Notebook when the evidence is spread across your own sources.

When Is an Upgrade Worth Considering?

Keep a short record of the task, the free limit you reached, and the work left unfinished. Compare an upgrade when that limit repeatedly interrupts necessary work, rather than paying just to collect more features.

Before subscribing, check the actual plan, billing period, renewal terms, output/export requirements, and whether your work needs organization-level controls. A higher allowance does not remove the need to check facts or review generated material.

Use public or approved material for a first experiment. Follow your employer’s, client’s, or school’s rules before uploading their files. A personal free account and a business or school-managed account can have different terms and access.
