Google Forms Order Form for Home Bakers: Sample Fields and an Order Tracker
Build a home bakery order form in Google Forms with copyable cake-order questions, privacy settings, confirmation wording, and a downloadable order tracker.
A cake enquiry can arrive in several messages: the date on Instagram, the flavour on WhatsApp, and the words for the cake in a later photo. A Google Forms order form for home bakers puts those details in one place before you prepare a quote.
The useful setup is small: a customer form, a private response sheet, and an order tracker you update after speaking with the customer. This guide includes sample questions and an editable download, without requiring an order-form add-on.
Google’s documentation was checked on October 22, 2026. This is a documentation-based setup guide with fictional examples. It has not been tested with live bakery orders and contains no affiliate links.
Start with an Enquiry Form
For custom cakes, call the form “Cake and Bake Order Enquiry.” You still need to check your baking schedule, decoration requirements, delivery area, and final price.
Put this near the top, replacing the brackets with your own details:
Tell us what you would like and when you need it. We will contact you within [your actual response time] to check availability and confirm the price, collection or delivery arrangements, and payment terms. Submitting this form does not reserve a date or confirm an order.
Add your menu link, service area, and actual minimum notice period. Only promise a reply time you can meet.
For a fixed weekend menu, use the same structure with a shorter product list. State the collection date and available pack sizes in the description. Each submission can contain one product request; customers who need a mixed order can describe it in the notes for you to quote manually.
Sample Home Bakery Order Form Fields
Open Google Forms, start a blank form, and use these questions as your cake order form template. Replace sample products and sizes with what you actually sell.
| Question to copy | Question type | Required? | Suggested choices or help text |
|---|---|---|---|
| Your name | Short answer | Yes | Name we should use when contacting you |
| Phone or WhatsApp number | Short answer | Yes | Include country code; tell us if this number does not use WhatsApp |
| Email address | Short answer | Optional | For a written copy or follow-up if needed |
| What would you like to order? | Dropdown | Yes | Custom cake / Cupcakes / Brownies / Cookies / Other enquiry |
| Flavour | Dropdown | Yes | Your actual menu choices / Please help me choose |
| Cake size or pack size | Multiple choice | Yes | Your actual cake sizes or pack sizes / Please advise |
| How many cakes or packs? | Short answer | Yes | Enter a whole number; clarify whether quantity means individual items or packs |
| Requested collection or delivery date | Date | Yes | Date is subject to availability |
| Preferred time window | Dropdown | Yes | Your real service windows / Please discuss with me |
| Pickup or delivery? | Multiple choice | Yes | Pickup / Delivery enquiry |
| Delivery area and PIN code | Short answer | For delivery | Ask for the service area first; collect the full address privately after checking coverage |
| Message to write on the cake | Short answer | Optional | Type the exact spelling; leave blank if not needed |
| Design, colours, or occasion | Paragraph | Optional | Describe the design; we will discuss feasibility and price |
| Reference image link | Short answer | Optional | Paste a viewable link, or send the picture when we contact you |
| Dietary or allergy requests to discuss | Paragraph | Optional | We must discuss whether we can accommodate the request before confirming |
| Anything else we should know? | Paragraph | Optional | Mixed products, serving needs, or other requests |
| I understand this is an enquiry | Checkboxes | Yes | My date and order are confirmed only after the bakery contacts me and agrees the details |
Use a short-answer field for phone numbers so country codes and leading zeroes remain readable. For quantity, set number validation and explain the unit. Review whole-number quantities yourself if the validation you choose also permits decimals.
Keep only sizes that make sense for the selected product. A short mixed-menu form can use “Please advise”; a larger menu is easier with separate cake and cupcake sections.
Google documents short-answer, paragraph, choice, date, and file-upload questions in its question-type guide. File uploads require the customer to sign into a Google Account. An optional reference link or a photo sent during follow-up avoids adding that requirement just for cake inspiration.
How to Set Up the Google Form
1. Group questions and set the delivery route
Use Contact details, What you would like, and Collection or delivery for the main questions. If you offer delivery, add Delivery area and Final notes and acknowledgement as two more sections.
Put Pickup or delivery? last in the Collection or delivery section. On that multiple-choice question, open More → Go to section based on answer. Route Delivery enquiry to Delivery area and Pickup to Final notes and acknowledgement. At the bottom of Delivery area, set its next destination to Final notes and acknowledgement. Both routes must reach the required enquiry acknowledgement before submitting. Google’s section-routing instructions cover answer-based routes and section destinations.
Place the delivery area and PIN-code question only in Delivery area and make it required there. Put dietary requests, other notes, and the acknowledgement in the shared final section. For pickup-only service, omit the delivery branch and put those final questions after the collection details.
Keep dietary requests as a conversation starter. A ticked box cannot establish whether a product or kitchen is suitable for someone’s needs. Confirm what you can accommodate before accepting the order.
2. Choose customer access and privacy settings
For a form shared through an Instagram bio or WhatsApp, check responder access allows your intended customers. Work or school accounts may have restrictions.
Leave Limit to 1 response off if customers should be able to make repeat enquiries without that Google sign-in requirement. Keep View results summary off: Google says the summary can expose full-text responses to people who can respond. Share the responder link when ready, and keep editing access with the bakery team. See Google’s publishing and sharing guidance.
For the simplest contact workflow, use the phone field and optional email question above. If you want Google’s built-in response receipts, configure its email-collection and receipt settings instead of collecting a duplicate email field. Choose Responder entry for manually entered emails; verified collection uses the customer’s Google Account email. A response receipt acknowledges submitted answers, not bakery acceptance. Details are in Google’s response-management guide.
3. Add a clear submission message
Use this as your confirmation-screen text:
Thank you. We have received your enquiry. Your date is not reserved yet. We will contact you within [your actual response time] to confirm availability, price, and payment arrangements. For urgent enquiries, contact [your business contact].
Replace every bracket before sharing. Avoid “Your order is confirmed” until you have checked the job and agreed the terms.
4. Link responses to Google Sheets
In the form’s Responses area, select a spreadsheet destination and create a new sheet or choose an existing one. Google explains the options in Choose where to save form responses.
Keep that spreadsheet restricted to the people handling enquiries. Customers need access to the form, not the response sheet. Check collaborators on both files: Google notes that removing someone’s access from the form does not automatically remove their spreadsheet access. Preserve the raw response tab so you can check what the customer originally requested.
To get an alert when an enquiry arrives, open Responses → More → Get email notifications for new responses, as described in Google’s response-management guide. These notifications do not confirm orders or send follow-up reminders.
Download the Home Bakery Order Tracker
Choose the tracker version you want:
- Open the shared Emerald CLEAN bakery workbook on Drive (.xlsx).
- Browse the shared CLEAN and DEMO bakery workbooks and user guide.
- Use the smaller original site download described below if you want the one-sheet version.
The Emerald files are Excel workbooks, not native Google Sheets copy links. Read their included USER_GUIDE.md and use their own column layout. To convert a personal download, upload it to your Drive, open it in Google Sheets and choose File → Save as Google Sheets; see Google’s conversion guide. Keep that working copy Restricted and check formulas, dates, dropdowns, filters and charts after conversion. Drive Viewer access for the CLEAN file was checked; signed-out download and native Google Sheets behavior remain untested.
Original one-sheet download
Download the editable home bakery order tracker (.xlsx).
This original site download has one Orders tab, 50 prepared entry rows, status choices, date columns, and a balance formula. The fields and formula below apply to this smaller version. It includes two fictional examples labelled DEMO-001 and DEMO-002. Clear their input cells before entering real orders; keep the balance formulas.
You can upload the workbook to Google Drive and open it with Google Sheets. Check the formula and dropdowns after conversion before using it for real orders. The download is a standalone template: it does not automatically receive Google Forms submissions. Copy the relevant enquiry details from your private response sheet into the tracker.
| Tracker field | What to enter |
|---|---|
| Order ID | A permanent reference such as HB-001; keep it with the enquiry if you sort the sheet |
| Due date | The requested date initially; update it to the date agreed with the customer |
| Customer reference and contact | Enough information to find the conversation |
| Items and quantity | The full agreed description, including size, packs, and decoration |
| Pickup / delivery | The agreed fulfilment method |
| Status | Enquiry, Quoted, Awaiting payment, Confirmed, In progress, Ready, Completed, Declined, or Cancelled |
| Quote, received, and balance | Final agreed total, payments actually verified, and calculated difference, in INR |
| Next action and follow-up date | The specific thing you need to do and when |
For example, a fictional ₹1,400 cake with ₹500 received has a ₹900 balance. Its next action might be “Confirm pickup time.” A second enquiry with no quote should have a blank balance, rather than appearing fully paid.
The first prepared balance formula is in J6:
=IF(COUNT(H6:I6)<2,"",H6-I6)
Enter 0 under received when you have verified that no payment has arrived. Leave it blank when you have not checked. A negative balance means recorded payments exceed the quote and needs checking. The formula is prepared through row 55; copy it and the validation down when extending the tracker.
Keep all cells for an order together when sorting. Use one row per enquiry, with the item details in the description. If you later need separate line items, ingredient planning, or invoices, expand the workflow deliberately rather than mixing those records into this tracker.
A Simple Routine for Each Enquiry
- Check the response and assign a permanent order ID.
- Confirm the date, product, design, collection time, and delivery feasibility.
- Send a written quote with your payment, change, and cancellation terms.
- Verify any required payment in your own payment records before marking the order confirmed.
- Update the tracker when the order moves into production, is ready, and is completed.
Ask only for information you need. Never ask customers for a UPI PIN, OTP, card PIN, or banking password. A screenshot or submission message alone is not your payment verification.
Set a Cutoff for Weekend or Festival Orders
Google Forms now supports closing a published form at a chosen date and time or after a chosen response count. This feature was announced by Google in January 2026.
For a weekend menu, set your cutoff before ingredient purchasing and preparation. Make the closed-form message explain when the next enquiry window opens.
In the published form, open Published → Set close date or response limit under Accepting responses. Choose the date and time or response count, edit the closed-form message, and save. You can also turn off Accepting responses manually; see Google’s response controls.
Treat response limits as an intake control. They do not calculate how many cakes you can make, and Google notes that simultaneous submissions can exceed the response limit. Confirm capacity yourself, especially when one enquiry can contain several products.
Test Before Sharing with Customers
Open the responder link on a phone while signed out of Google. Check whether an unexpected sign-in prompt appears, submit one fictional pickup enquiry and one delivery enquiry, and verify that both reach the private response sheet.
Read the date and quantity as a customer would. Confirm that “2” means two packs if that is what you sell, that pickup customers can finish without a delivery address, and that the submission message describes an enquiry. Check the tracker with a quote, a zero payment, and a partial payment.
Share the tested responder link through your usual business channel. Recheck the menu, timing, and delivery options whenever they change.
FAQ
Can I use Google Forms for home bakery orders?
Yes. It can collect enquiries for cakes and other baked goods and send the responses to a linked spreadsheet. Use a separate confirmation process for price, availability, payment, and fulfilment.
Does this template calculate the customer’s total in the form?
No. This setup collects a request and lets the baker quote it. The downloadable tracker calculates the outstanding balance after you enter the quote and verified payment. It provides no customer checkout or payment integration.
Do customers need a Google Account?
That depends on the form’s settings and question types. Test the published link while signed out. File uploads, one-response restrictions, and account-based access settings can introduce sign-in requirements.
Is there a ready-made Google Form to copy?
This guide provides sample questions to recreate in your own Google Form and an editable spreadsheet download. It does not provide a hosted form or connect a template to your account automatically.
Can I use the tracker for cupcakes, cookies, and brownies?
Yes. Replace the example descriptions with your products and specify whether quantities mean individual items or packs. Keep a mixed order’s complete details together under its order ID.
